Board Meeting Minutes - November 22, 2010

Roswell Visual Arts Center

The meeting was called to order by Tom Hoffmann at 7:00 PM in the Roswell Visual Arts Center. Those in attendance were: Tom Hoffmann, Ed Waters, Lou Raimondi, Jim Pettit, Nancy Mingo, Gittel Price, Maury Kalnitz, Roy Gordon, Eric Paulding, Scott MacInnis, Stan Clay, Lynn Kahn, Ted Fisher, Jeff Frankel and Bill Magley.

The incoming 2011 Board members were introduced.

Jim Pettit presented the Treasurer's report. The board discussed the primary sources of income "revenue" and the primary expense categories.

Nancy Mingo presented the current membership statistics. There was a general discussion about how strongly annual voluntary donations should be recommended, and suggestions were made about rewording the membership form comments to reinforce that voluntary donations are a primary source of funding for club activities.

Stan Clay reported on educational programs. It continues to be a challenge to get instructors. Stan reported that upgrades of the lab computers to Photoshop CS5 and Lightroom 3 would be desirable, but it will be expensive, approximately $3000 total. Stan agreed that RPS should investigate the possibility of Adobe educational licensing discounts. The general pricing of workshops was discussed, along with how to run more frequent workshops.

Gittel Price reported on upcoming activities:

  • Pickup of both the Visual Arts Center and Cultural Arts Center shows is 11/29.
  • Gittel will pick up the new Epson printer from Showcase on 11/29.
  • Help Portrait will be held on 12/4 from 10-2, with setup starting at 9 AM. The supporting "computer team" will meet on 12/1 (or alternate date as they arrange) to set up the printer and wireless network. 21 volunteers are lined up for the event.
  • Holiday Party & Print Swap – setup will be on 12/6 at 6 PM at the Adult Activity Center. Lou Raimondi has arranged for a DJ (cost $200). Voting will be held at the party for the UPS Car Show and Image of the Year winners.

Gittel reminded everyone that the December Board meeting on 12/13 needs to set the 2011 calendar so it can be submitted for city approval. Gittel also noted that Old Car City *will* be able to host field trips, at a current fee of $10 per person.

Gittel reported that the total entry cost for the 2011 Colors Festival is $220. Gittel Price moved, and Lou Raimondi seconded, that RPS goes ahead and pay so RPS can get registered. Unanimously approved. Gittel will submit the RPS application.

Maury Kalnitz agreed to investigate new RPS shirts (vendors, styles, costs, etc.) and report back.

Lou Raimondi reported that Meetup.com has been reasonably effective so far, but we need to encourage signups. There was discussion about putting out an email to members from the club president with easy links to Meetup and Facebook signup pages. Tom Hoffmann agreed to work with Lou on getting that sent.

Lou also agreed to contact Jon Slate about transitioning the officer email addresses to the new board members.

Eric Paulding agreed to investigate Constant Contact and Com4Com for possible use as the regular mass email system.

Tom Hoffmann reported that the new website is nearing completion, and we can now start populating the content pages. Tom, Eric Paulding, Ted Fisher and Mark Walters will work together to determine what content should be migrated from the current website, and start moving it over.

The current Photo Review guidelines were discussed. Bill Magley will collect any input from the Board and develop a new draft for review and potential adoption at the next Board meeting. There was also discussion about the potential for reintroducing the Novice category to encourage new members to participate in the reviews, but it was agreed that the regular categories should be sufficient.

Potential Photo Review themes for 2011 were discussed. Tom Hoffmann will consolidate and net down the suggestions for a final selection at the next Board meeting.

There being no further business, Ed Waters moved and Lynn Kahn seconded that the meeting be adjourned. With unanimous consent, the meeting adjourned at 9:10 PM.
